Direct Relief’s Privacy Policy

Your privacy is important to Direct Relief, and we take our responsibility to safeguard it seriously. Direct Relief is a global humanitarian nonprofit organization, and this Privacy Policy explains how we collect, use, and share personal information when you interact with us online – for example, by using our website, donating, signing up for updates, or applying to join the Direct Relief network through our website (collectively, our “Services”). Please note that this Privacy Policy does not cover information collected in connection with our humanitarian programs or through engagement with Direct Relief’s employees or contractors.

1. Information We Collect

We collect personal information needed to support our humanitarian mission and provide Services to you. This includes information you directly provide (for example, when donating or contacting us) as well as data collected automatically through your use of our website or from certain third parties described below.

A. Information You Provide to Us

You may give us personal information when you:

  • Make a donation or payment. For example, when you donate through our website or other platforms, you provide information such as your name, contact details (address, email, and phone number), payment information (credit card, debit card, or bank account details and billing address, which we collect using a third party payment processor), donation amount, and any messages or designations for the donation.
  • Contact us or communicate with us. If you reach out with inquiries via our contact forms, emails, or phone calls, we may collect your name, email, phone number, and the content of your communication.
  • Subscribe to newsletters or updates. If you sign up for our email updates, newsletters, or other communications, we collect your name, email address, and communication preferences.
  • Engage in campaigns or events. For example, if you create a fundraising campaign on our site, or sign up to volunteer or attend an event, we might collect relevant information such as your registration details, affiliation, or areas of interest.
  • Apply to work with us. If you submit an application for a position through our external applicant portal, we will receive your name, contact details, and other information (such as your resume and work history) that you provide as part of the application. If you apply for a position with Direct Relief, you will be directed to an external recruitment portal that has its own privacy policy, which governs how applicant information is collected and processed through that portal.
B. Information We Collect Automatically

When you interact with our website or digital services, we automatically collect certain information about your device and usage through cookies and similar technologies. This may include:

  • Device and browsing information, such as internet protocol (IP) address, browser type, device type, operating system, referral URLs, and system settings.
  • Usage data, such as pages you viewed on our site, the date and time of your visit, time spent on pages, clicks and navigation patterns.
  • Location data, such as a general geographic location derived from your IP address (e.g. city or country).
  • Online identifiers, such as cookie identifiers or other tracking IDs that help us recognize returning visitors.

This information is typically collected to understand how our site is used, measure the effectiveness of our outreach, and improve our Services. We generally gather this data on an aggregate basis, but to the extent it is considered personal data in some regions, we treat it in accordance with this Policy. C. Information from Third-Party Sources

We may receive personal information about you from third parties, such as:

  • Donation platforms and fundraisers. If you donate to Direct Relief through a third-party platform (such as PayPal Giving Fund, a social media fundraising tool, or an employer’s matching gift program), those third parties may share your name, contact information, donation amount, and any preferences or messages associated with your donation. This allows us to properly record and acknowledge your contribution.
  • Public sources, social media, and third-party partners. We may collect information that you have made publicly available, such as through interactions with our social media pages or via public donor recognition lists. If you interact with Direct Relief on social media (for example, by messaging us or commenting on our posts), we may receive profile information that you permit the platform to share with us, based on your privacy settings on that platform. Additionally, we may reference publicly-available information and related analyses from trusted service providers to support our fundraising activities and provide you with relevant communications and opportunities.
  • Partner organizations. Occasionally, we might receive your information from partner nonprofit organizations or events. For instance, if you participate in a joint campaign or attend a co-hosted event and consent to sharing information related to your participation, the partner may forward your contact information to us.
  • Analytics providers. We may receive analytics data from providers such as Google Analytics. Please see Section 2 below for more information on third-party analytics tools.

We treat information from third parties according to this Policy, plus any additional restrictions imposed by the source (for example, the terms of a particular fundraising platform or social network).

For individuals in the European Economic Area (EEA) or United Kingdom, we process your personal information on certain legal bases:

  • Your Consent: We will rely on your consent when we place non-essential cookies (see Section 2) or send you marketing emails. You can withdraw your consent at any time.
  • Direct Relief’s Legitimate Interests: We process certain data for our legitimate interests, in a way that does not override your privacy rights. This includes using your information to administer and improve our website and Services, secure our online platforms, perform analytics, communicate with you about certain non-marketing topics (such as privacy), assess the qualifications of prospective employees, conduct and improve fundraising efforts, and recognize donors. When you choose to donate through our website, we also process your payment and contact details to complete that donation.
  • Compliance with Legal Obligations: In some cases, we need to process and retain information to comply with our legal or regulatory obligations. For example, charity regulations and tax laws may require us to maintain records of donations or report certain information to government authorities.
  • Performance of Contracts: In some cases, we may process personal data for the purpose of potentially entering into a contract (for example, in connection with offers of employment).

2. Use of Cookies and Tracking Technologies

As discussed further below, we use cookies and similar tracking technologies to provide and improve our Services, remember your preferences, and understand how people use our website. We also use these technologies to support our outreach and fundraising efforts (for example, by measuring the success of an online donation campaign or advertisement).

A. Cookies

Cookies may help us to do the following:

  • Remember your preferences and settings. This helps, for example, to avoid having you re-enter information each time you visit and to keep track of your selections on donation forms or other site features.
  • Provide a smoother, more personalized experience. For instance, cookies can recognize if you have visited before and might enable us to greet you or pre-fill certain fields. They can also help us display content that may be more relevant to your interests.
  • Collect aggregate usage data. We gather statistics about how our site is used (e.g. number of visitors, pages viewed, traffic sources) so we can improve site performance, content, and overall user experience.
  • Measure campaign effectiveness. Cookies help us understand if you came to our site via a specific email or online ad and whether you took an action (like donating) as a result. This information is valuable for evaluating and improving our outreach and marketing efforts.

Most web browsers automatically accept cookies, but you have controls to manage them (see Section 8 for your choices on managing cookies). If you disable or delete certain cookies, please note that some features of our site might not function optimally – for example, we might not remember your past donation selections or site preferences. B. Third-Party Analytics Tools

We use third-party analytics services to collect information about site usage and visitor interactions. These analytics tools use cookies and similar technologies to gather data such as:

  • Your IP address (which provides a rough geographic location).
  • Browser and device information (e.g., browser type, operating system).
  • Pages you visit and actions you take on our site (which pages, for how long, links clicked, etc.).
  • The website or ad that referred you to our site (for example, a search engine or an email link).

We use this information to understand user behavior and improve our website content, functionality, and outreach strategies. Google Analytics, for example, provides reports that help us gauge which content is most popular or how effective a campaign was. We have configured Google Analytics to anonymize IP addresses in certain cases.

Your choices: If you don’t want to be included in Google Analytics data, you can opt out by installing the Google Analytics Opt-out Browser Add-on or use your browser’s privacy settings to block cookies (see Section 8 for more on opting out).

C. Advertising and Conversion Tracking

To understand how our outreach performs and to help more people discover our mission, we may use advertising and conversion tracking technologies. These may include, but may not be limited to:

  • Google Ads Conversion Tracking: We use Google Ads (AdWords) conversion cookies to see if someone who clicked on one of our Google advertisements later made a donation or took another action on our site. This helps us evaluate and improve the effectiveness of our Google ad campaigns (including those provided through Google Ad Grants for nonprofits).
  • Social Media Pixels: We may use tracking pixels from social media platforms (like the Meta/Facebook Pixel, X/Twitter Pixel, etc.) on our site. These pixels help us measure the impact of social media campaigns and can help us reach people who have shown interest in Direct Relief. For example, if you visit our site or donation page, we could later show you an update or fundraising message on Facebook or Instagram (this kind of tailored advertising is often called “retargeting”).
  • Email Marketing Analytics: When we send you emails, we may use tracking pixels and related analytics technologies to tell us if you opened the email or clicked on links. This helps us understand engagement and improve our email communications. You can always opt out of marketing emails if you prefer (see Section 8).

Your choices: You can also visit our Cookie Settings section on our website (if available in your region) to make changes to your cookie preferences for our website. See Section 8 of this Privacy Policy for more details on opting out. You may also be able to control the use of advertising cookies and pixels through your browser settings and platform-specific settings. For example, you may be able to adjust your ad preferences or use broad opt-out tools like the Network Advertising Initiative opt-out page or Your Online Choices (for EU users) to opt out of many types of targeted advertising.

3. How We Use Your Information

We use the personal information we collect to further our humanitarian mission, communicate with you, and fulfill our legal obligations. Specifically, we may use your information for purposes including:

  • To process donations: We use your information to process your contributions, issue donation receipts, and manage payment information. For example, if you donate, we will use your credit card details to complete the transaction and your contact information to send you a confirmation and receipt.
  • To communicate with you: We send communications that you have requested or that are related to your interactions with us. This includes sending donation confirmations and thank-you messages, responding to your inquiries, and delivering newsletters or updates if you subscribed.
  • To invite you to participate and support our efforts: With your consent or as otherwise permitted, we may send you invitations to attend events, support fundraising campaigns, or engage with Direct Relief in other meaningful ways. For example, if you’ve previously shown interest in our disaster response updates, we might email you about opportunities to assist with an emergency relief effort. You can opt out of these communications at any time (see Section 8). We may also use information submitted to Direct Relief to identify opportunities to further our fundraising and outreach activities.
  • To personalize your experience: We may use information about your interests or past interactions to tailor our communications and content to you. For instance, if you donated to a specific program or region, we might send you updates related to that area of our work. Similarly, on our website we may highlight content (such as stories or updates) that align with your past engagement.
  • To analyze and improve our operations: We internally analyze data to understand how our campaigns, website, and communications are performing. This helps us troubleshoot issues, make our Services more user-friendly, and ensure we are using our resources effectively. For example, we might use website analytics to improve the donation process or use survey responses to enhance our programs.
  • To improve our digital outreach: We may use data you provide, such as email addresses and phone numbers, to help deliver more relevant advertisements across various digital platforms, including search engines, social media networks, and other online advertising channels. This data may be shared with trusted advertising and measurement partners who assist in personalizing ads, analyzing performance, and improving the overall user experience.
  • To ensure security and prevent fraud: We may use personal information to protect our supporters and Direct Relief from fraudulent or malicious activity. This includes verifying transactions, detecting and preventing potential fraud or abuse (for instance, to protect against fraudulent donations or phishing attempts), and enforcing our website’s terms of use.
  • To comply with legal and regulatory requirements: As a nonprofit, we are subject to various laws (e.g., charitable solicitation laws, tax regulations, data protection laws). We may use and retain personal data as needed to fulfill these obligations. For example, we keep donation records as required for financial audits and tax filings. We also maintain suppression lists of people who have unsubscribed from mail or email to ensure we honor those opt-out requests, as required by law.
  • To acknowledge your generosity: We may publicly recognize your generosity by including your name alongside other donors in our annual report or on donor recognition displays at our headquarters. If you prefer your donation to remain anonymous, we will gladly honor your wishes—just let us know using the contact details in Section 11 or indicate your preference when donating.
  • For other purposes disclosed at the time of collection or with your consent: We may use your information for a purpose not listed here, in which case we will disclose that purpose at the point of collection.

4. Who We Share Your Information With

Direct Relief does not provide your personal information to unrelated third parties for their marketing or fundraising purposes. We may disclose your information outside of our own systems in certain circumstances, subject to this Privacy Policy, including:

  • With service providers and vendors. We share information with trusted third-party companies that process that information to perform services on our behalf. For example:
    • Donation processing and payment services: Direct Relief partners with secure third-party fundraising platforms or payment processors (which may include, for example, GoFundMe, Stripe, and PayPal) to handle online donation processing. When you make a donation through our website, your payment and personal information (such as your name, payment card details, billing address, and donation amount) is transmitted securely to these trusted providers. These platforms may have their own privacy notices that govern how they use data.
    • Email and communications services: If we send you emails or other messages, we may use an email service provider to distribute those communications. We securely upload your email address and the content of the message to the provider, which then delivers the message to you.
    • Cloud storage, database hosting, and IT support: We may use cloud-based servers or data management providers to host our website, databases, and files. These providers might process your data for storage, backup, or technical support purposes.
    • Recruitment and human resources services: If you apply to work with us, your application may be sent through an external recruitment portal. For successful applicants, certain data pertaining to Direct Relief employees will be managed using human resources service providers.
    • Analytics and marketing tools: As described in Sections 2 and 3, we use third-party analytics (such as Google Analytics) and may engage advertising platforms to support our outreach activities. These providers process usage data and, in some cases, contact information—for example, if we securely upload an email list to create a custom audience for a social media campaign. Additionally, we may use the information we receive with research service platforms to help us deliver relevant communications and engagement opportunities. Information used for this purpose is not further disclosed to other parties.
  • With partner organizations (in limited cases). We generally do not share your personal information with other charities, unless we collaborate on a specific program or event and you participate in that initiative. For example, if Direct Relief co-hosts a relief project with another nonprofit and you sign up to volunteer for that project, we might share your name or contact information with the partner organization managing volunteer logistics. In such cases, we will inform you at the time your information is collected or obtain your permission, if required by law. Also, if you specifically ask us to share your information with another organization (for instance, you want us to coordinate with your employer’s matching gift program, or you make a donation in someone’s honor and want us to notify that person), we may do so as needed to fulfill your request.
  • To recognize your generosity. As noted in Section 3, we may publicly share certain information to recognize donors (typically limited to the donor’s name and potentially the general donation tier or purpose). This could be shared in our annual report, on our website, or on a donor wall. If you would rather not be recognized publicly, we will honor your preference for anonymity. Simply let us know your preference, and we will exclude your name from any public acknowledgments. If you have previously given us permission to publicly acknowledge you as a donor but later change your mind, you can contact us to withdraw that permission, and we will refrain from including your name in future public acknowledgments.
  • For legal compliance or protection of rights and safety. We may disclose your information if we believe it’s necessary to comply with a legal obligation or to protect rights or safety. This includes situations such as:
    • Sharing information to protect the rights, property, or safety of Direct Relief, our employees, our donors, or the public. (For example, if someone is suspected of fraudulently using credit cards on our donation page, we may share data with law enforcement and other organizations to investigate or prevent harm.)
    • Responding to lawful requests from public authorities, regulators or law enforcement.
    • Enforcing our policies, terms of use, or agreements, and pursuing available remedies or limiting damages.
  • With our professional advisors, such as auditors, law firms, or accounting firms.
  • For purpose of an organizational transfer. If Direct Relief were to negotiate or undergo a major organizational change, such as a merger with another nonprofit, a consolidation, or a transfer of a significant portion of our assets, the personal information we hold could be transferred to the prospective or actual successor or new entity.
  • With our affiliates, and otherwise within our corporate group.

5. International Data Transfers

Direct Relief operates globally, and the personal information we collect may be stored and processed in the United States or in other countries. If you are located outside the United States, please be aware that your personal information will likely be transferred to and processed in the United States, where our primary databases and servers are located.

Direct Relief, which is a nonprofit organization established in the United States, will typically operate as a data controller for processing your information. If you engage with Direct Relief gGmbH, a nonprofit affiliate established in Germany, Direct Relief gGmbH and Direct Relief may both operate as data controllers, or Direct Relief may process data on behalf of Direct Relief gGmbH. Transfers of data from the European Union or United Kingdom to the United States are governed by Standard Contractual Clauses (SCCs) approved by regulators for controller to controller transfers or controller to processor transfers, as appropriate.

By using our Services or providing information to us, you acknowledge that your information will likely be transferred to and processed in the United States (and potentially other countries) as described in this Policy. We will handle your information in accordance with this Policy, regardless of where it is processed. Our goal is to ensure a consistent, high level of privacy protection for all Direct Relief supporters worldwide.

6. Data Security

We employ a range of administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, disclosure, alteration, or destruction. Although no method of internet transmission or storage is completely foolproof, we continually review and strengthen our security controls to keep your data safe.

7. Retention of Your Information

Donor-related records, including contact details and donation history, are retained for at least seven years for auditing purposes. Both donor information and contact information collected for marketing purposes may be retained beyond that timeframe for use in our routine communications and fundraising activities, and until otherwise requested by the donor or subscriber. If you would like to request deletion, please contact us per Sections 8 and 11 of this Policy.

Your data may be retained for other periods of time based on our consideration of various criteria, including any legal or auditing requirements that may apply to the data, the sensitivity of the data, applicable best practices, risks to the data subject, any requests or objections received from the data subjects, and whether the information continues to serve the legitimate interests of the organization (which may include, for example, analysis or fundraising to support the organization’s mission).

We do not store full credit card numbers on our own servers after your electronic donation is processed; this information is handled by our payment processors. If you provide payment details for recurring donations, those are stored by the payment processor, not by Direct Relief, and are subject to safeguards. We only retain references or tokens (non-sensitive identifiers) needed to process subsequent donations or manage your donor account.

8. Your Privacy Rights and Choices

We strive to provide easy ways for you to review, update, or delete your data and to set your communication preferences. Visitors in the EEA and UK also have certain legal rights to control their personal information and the ways we use it. Your rights and choices include:

  • Access and Correction: You may request details of the personal information we hold about you, and request that we correct or update any inaccuracies. For example, you can ask for a copy of your donation history or confirm the contact information we have on file, and you can request that we correct your name, address, or other details if they are wrong or have changed. We will provide this access and make corrections as required by law (and in practice, we try to honor such requests for all users, regardless of jurisdiction).
  • Erasure: You can request that we delete your personal information from our records. For instance, if you no longer wish to be in our database, we will delete the information we hold about you upon receiving a verified request. Do note that there are some instances where we may retain certain information despite a deletion request: for example, we might need to keep records of donations that were made (for financial reporting, audit, or tax purposes), or retain minimal information to ensure we honor a no-contact request (so that we know not to accidentally contact you in the future).
  • Objecting to or Restricting Processing: If you are covered by certain laws (such as the General Data Protection Regulation (GDPR) in the European Union and United Kingdom), you have the right to object to certain processing activities or ask us to limit how we use your data. We will consider such requests from any jurisdiction.
  • Data Portability: Where provided by law, you may have the right to obtain a copy of the personal information you provided to us in a portable and commonly-used format. For example, individuals in the EU can request that we provide their data in a machine-readable format so it can be transferred to another service. If applicable, we will provide the data or, if technically feasible, transmit it to another entity at your direction. (In practice, this might simply mean we give you an Excel or CSV file of your relevant data.)
  • Opting Out of Marketing Communications: If at any time you prefer not to receive our newsletters, fundraising appeals, or other promotional communications, you can opt out or unsubscribe. Our marketing emails include an “unsubscribe” link at the bottom; clicking that will remove you from that mailing list. You can also contact us directly (via email or phone) to request removal. Once you opt out, we will stop sending you those types of communications. Please note, even if you opt out of marketing messages, we may still send you essential transactional communications, such as a donation receipt or an email responding to a specific inquiry from you.
  • Cookie Preferences: You have choices regarding cookies and similar trackers. You can adjust your choices regarding cookies on Direct Relief’s website by using the Cookie Settings option at the bottom of the homepage, if available in your region. You can set your web browser to refuse all or some cookies, or to alert you when cookies are being used; you can also delete cookies that have already been set. If you opt to disable cookies, remember that some features of our site might not function optimally, but the site should remain largely accessible. We do not currently respond to “Do Not Track” signals due to the lack of an industry standard. Additional information about cookies and other tracking technologies is available in our Cookie Policy.
  • Withdrawal of Consent: In cases where we are processing your information based on your consent (for example, if you agreed to receive text message updates or if you consented to cookies), you have the right to withdraw that consent at any time. To withdraw consent for communications, you can unsubscribe or contact us. To withdraw consent for cookies, you can adjust your browser settings or use our website’s Cookie Settings option at the bottom of the homepage, then refresh your browser before proceeding. Note that withdrawing consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, and in some cases, we might have another legal basis to continue processing your information.
  • No Discrimination: Direct Relief will not discriminate or retaliate against you for exercising any of these privacy rights.

How to Exercise Your Rights: To exercise any of the rights or choices above, you can contact us using the information provided in Section 11. Please be as specific as possible about your request to help us fulfill it efficiently. We will process the requests in accordance with applicable law. Please be aware that certain of these rights only apply in certain circumstances, and all of these rights may be limited by law. Direct Relief values your trust, and will endeavor to honor your preferences whenever feasible and appropriate.

We may need to verify your identity before completing certain requests (such as accessing or deleting data), to ensure that we are protecting your information from unauthorized access. For example, if you email us from the address we have on file for you, that helps us verify identity; we might also ask for confirmation of a past donation amount or other information we have on record to confirm we’re dealing with the correct person. If you want to use an authorized agent (such as an attorney or designated person) to submit a request on your behalf, we may take steps to verify the agent’s authority and/or confirm directly with you that you gave permission, in order to prevent fraud.

We will do our best to respond to your requests in a timely manner, within the timeframe required by law. We will generally endeavor to respond within thirty days, though this timeframe may be extended in certain circumstances.

Your Right to Lodge a Complaint: If you are in the European Union, United Kingdom, or certain other jurisdictions with a similar data protection authority, you may have the right to lodge a complaint with the data protection supervisory authority in the country in which you are based if you believe we have not handled your personal information lawfully. Please consider reaching out to us first, and we will try our best to resolve the issue.

9. Third-Party Websites and Services

Please be aware that our website and communications may contain links to third-party websites or incorporate features from other services that are outside our control, such as the following:

  • External websites: If you click on a link on our site that takes you to a website or service not operated by Direct Relief (for example, a news article, a partner organization’s site, or a social media platform), your activity on that external site is subject to the privacy policy of the site you visit. Direct Relief is not responsible for the content, privacy practices, or security of other sites. For instance, if you click a link to an article on a media site about our work, that media site may collect data about you under its own policies.
  • Third-party donation platforms: We use secure third-party fundraising and payment services to process online donations submitted through our website or other channels. You may also support Direct Relief through other independent fundraising tools—for example, a charitable-giving service, a crowdfunding site, or a social-media “donate” button. These platforms operate under their own privacy policies and may pass certain donation details to us (see Section 1.C) while also retaining or using your data in line with their practices. We encourage you to review the privacy policy of any platform you use and to contact that provider directly if you have questions about how they handle your information.
  • Social media features and widgets: Our online presence may include features from social networks – for example, links to our social media profiles, an embedded X feed, a Facebook “Like” button on a blog post, or a YouTube video on our site. Some of these features might collect certain information (like your IP address, which page you are visiting on our site, or set a cookie) even if you do not explicitly click on them, especially if you are logged into those networks. They might also allow you to share content from our site on your profile on those platforms. Interactions with these features are governed by the privacy policy of the respective company (e.g., Meta, X, Google/YouTube). For instance, if you use Facebook’s “Share” feature, Facebook’s policy will apply to any data they collect in the process.
  • Direct Relief on social media: We maintain profiles on various social media platforms (like Facebook, X, Instagram, LinkedIn, etc.). If you visit or interact with our official pages on those platforms, those interactions are governed by the terms and privacy policies of the platforms themselves. We may collect your social media handle or any messages you send us via those platforms. Remember that anything you post publicly on social media (for example, commenting on a Direct Relief Facebook post) will be visible to others according to the privacy settings you have on that platform.
  • No third-party ads on our site: Direct Relief’s website does not host third-party advertisements. You will not see banner ads for other companies or products on our site. We may, however, acknowledge corporate partners or sponsors on our site; for example, we might display a company’s logo as a supporter. Clicking such a logo might take you to that company’s website, which again would be governed by their policies.

In summary, whenever you leave Direct Relief’s website or engage with a third-party service, their rules apply, and we encourage you to review their privacy notice, policies and other terms. Although we do our best to provide integrations only with reputable organizations, we are not responsible for the privacy or security of, or information found on, external sites or platforms.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements, or for other operational reasons. When we make changes, we will update the “Last Updated” date at the bottom of this Policy. We encourage you to review this Policy periodically to stay informed of any changes.

If we make material changes to the way in which we use the information we collect, we will use reasonable efforts to notify you (such as by displaying a notice on our website’s homepage, sending out an email notification to our mailing list using the most recent email addresses that we have on file, or other means consistent with applicable law). If you do not agree to any updates to this Privacy Policy, please do not access or continue to use the Services.

11. Contact Us
